What "Installation" Actually Means

The word gets used loosely. Here's what it covers when we say it:

Off-site build. Most large installations are partially or fully assembled at our Kent shop before they arrive. Garlands, mosaic letter walls, arch frames, and column structures get pre-built so on-site time is minimized.

Delivery and logistics. We coordinate with the venue on load-in times, loading dock access, freight elevators, parking, and any building rules. For downtown Seattle venues, that's often the most underrated part of the whole job.

On-site setup. The structural work — anchoring frames, mounting backdrops, tying garlands to railings or rigging points, weighting outdoor pieces. This is where untrained installs go wrong. Balloons that look great on a Pinterest board collapse during the event if the underlying structure isn't built for the load.

Touch-ups. Balloons travel. Some shift in transit. The installer's last 20 minutes on site are usually adjustments, fills, and final styling so what guests see at the entrance is what was designed.

Freestanding and Walk-Through Arches

A balloon arch at the venue entrance is a classic install. Tabletop arches (3-4 ft) ship pre-built. Walk-through arches (8-10 ft) get built at the venue on a PVC or metal frame, weighted with sandbags, and styled in place. Outdoor arches add wind anchoring and HI-FLOAT.

Mosaic Letter and Number Walls

For grand openings, milestone birthdays, weddings, and brand launches. The letter frames are pre-cut and partially filled at the shop, then carried in and finished on site. The install crew assembles the wall, weights the base, and fills the last 20% of balloons after the structure is positioned.

Photo Walls and Step-and-Repeat Backdrops

A full balloon wall or photo backdrop — 6x8, 8x8, 10x10, or larger custom — installed where guests will photograph in front of it. We work with venue layout, lighting, and traffic flow to position the wall correctly the first time.

Column Pairs

Threshold-marking balloon columns — 6 ft to 10 ft tall, in pairs flanking entrances, stages, or podiums. Columns ship pre-built on weighted bases and slide into place during install. The fastest format we install, often under 30 minutes for a pair.

Suspended and Ceiling Installations

Hanging balloon clouds, ceiling drops, helium ceilings, and suspended garlands. These require ladders or lifts and approval from the venue's facilities team. We handle the coordination — but it usually adds 60 to 90 minutes to install time and 30 to 45 minutes to breakdown.

Multi-Piece Commercial Setups

For grand openings, conferences, and trade shows, a single install often includes 4 to 8 distinct pieces — an entrance arch, a registration garland, a stage backdrop, photo wall, table centerpieces, and column markers. Indoor vs. Outdoor Installation

The single biggest variable in a balloon install is whether it's indoor or outdoor. Almost everything else flows from that.

Indoor Installs

Predictable conditions. Climate-controlled, no wind, no sun degradation. The constraints are venue rules: what can be anchored where, whether ceiling rigging is allowed, what happens to walls if you use removable hooks. Most indoor installs happen in under 90 minutes and break down in 30 to 45.

Outdoor Installs

Different math entirely. Sun expands balloons — a balloon inflated indoors and moved into direct Seattle summer sun can pop within 30 minutes. We pre-shrink balloons to about 90% capacity, treat latex with HI-FLOAT for UV protection, and avoid black or red balloons in direct sun (they absorb the most heat).

Wind is the other variable. We weight every outdoor piece with sandbags or water weights, stake what we can, and have a wind-cancel threshold of about 20 mph sustained. Rain we plan around — light rain is fine for treated latex; heavy rain or hail isn't.

2 to 3 weeks before: Design lock-in, deposit, scheduling, venue load-in coordination.

Week of: Final headcount, color confirmation, weather check for outdoor events.

Day of — arrival: Crew arrives at the venue on the scheduled load-in time. For a 6 PM event, that's usually a 2 to 3 PM install for medium-sized jobs, or earlier for multi-piece corporate jobs.

Day of — install: Build, anchor, style, photograph for portfolio approval, leave the venue clean.

Day of — breakdown: Pre-scheduled in the contract. Typically the same evening or next morning, depending on the venue's reset window.

That schedule scales up or down — small one-piece installs sometimes happen 90 minutes before the event. Multi-piece grand opens occasionally need pre-day install for early-morning events.

Insurance, Liability, and Venue Requirements

This is the unglamorous part — and it's exactly the reason commercial clients hire out installation.

Balloon Decor NW carries general liability insurance and can provide a certificate of insurance (COI) to any venue that requests one. We have COIs on file with several Seattle and South King County venues already; for new venues, COI requests are usually turned around in one business day.

Three questions get most installs scoped in 10 minutes:
